Project Coordinator/ Sr. Project Coordinator

The University of Illinois seeks a Project Coordinator/ Senior Project Coordinator in the Administrative Information Technology Services (AITS) department to perform professional-level duties associated with managing IT projects and supporting the operations of the Portfolio & Process Management Office.  The project portfolio consists of a variety of IT-specific projects which range from small, moderate efforts to large, complex projects.  Work will vary across concurrent projects with responsibilities on each project being defined and agreed upon between the project office and relevant project teams. This will allow the Senior Project Coordinator exposure to many aspects of the University’s administrative IT business, providing both depth and breadth of experience.  Additional responsibilities include:

 

Duties and Responsibilities

1. Manage technical implementation and upgrade projects of vendor delivered applications.

 

2. Manage application development projects and releases, planning and directing changes and new development work to support AITS process improvement and improved user experience.

 

3. Employ Project Management methods and competencies, including:  Develop work plans, schedules, project estimates, resource plans, and status reports; Ensure adherence to project quality standards by reviewing project deliverables; Facilitate project team meetings and provide technical and analytical guidance to project team, coordinating with the appropriate technical lead(s) and programs; Recommend and take action to direct the analysis and solutions to problems; Communicate progress with project stakeholders, program leads and management at key review points.

 

4. Provide project management support, technical coordination and assistance to University projects or groups, as appropriate.

 

5. Support the Portfolio Management Office for AITS:  Facilitate the IT Governance process for all projects in the portfolio; Facilitate the collection and analysis of project performance including performance against budget, scope, project objectives and customer satisfaction; Facilitate the usage of project and portfolio management software across the organization.  Become a subject matter expert in the usage of this software; Utilize specialized knowledge of project/portfolio management to facilitate project planning for individual projects and organization-wide initiatives; Implement metrics to demonstrate results with the goal to improve service delivery capabilities and enhance service delivery management; Analyze results and provide summary level executive reports; Design custom reports focusing on specific organizational requirements; Provide ongoing trending analyses on project performance and scheduling and on resource capacity management; Respond to critical requests for information from AITS Leadership Team during and outside of normal business hours as required; Provide ongoing training and coaching on project management.

 

6. Additional duties may include business analysis responsibilities including gathering and analyzing requirements, documentation and specification of requirements, and functional testing.

 

7. Develop and recommend new/improved business process, policy and system solutions to achieve operational excellence.

 

8. Act as a trusted advisor to the Process Office/Planning team.  Identify, recommend, develop, deploy and support new business processes to improve operational performance.  Elicit requirements using interviews, document analysis, requirements workshops, surveys, site visits, business process descriptions, use cases, scenarios, business analysis, task and workflow analysis.

 

9. Benchmark processes and document best practices.

 

10. Critically evaluate information gathered from multiple sources, reconcile conflicts, decompose high-level information into details, abstract up from low-level information to a general understanding, and distinguish user requests from the underlying true needs.

 

11. Serves as the conduit between the customer community (internal and external customers) and the software development team through which requirements flow.

 

12. Develop requirements specifications according to standard templates, using natural language.

 

13. Collaborate with developers and subject matter experts to establish the technical vision and analyze tradeoffs between usability and performance needs.

 

14. Be the liaison between the business units, technology teams and support teams.

 

15. Perform other duties and responsibilities appropriate for a Sr. Project Coordinator/Business Process Analyst.



Requirements:

Minimum qualifications include a Bachelor’s degree in management information systems, information technology (IT), or similar discipline from an accredited institution of higher education, and five (5) years professional experience managing IT projects or in project management in another field. Other requirements include: Project Management Professional (PMP) certification, familiarity with project management methodologies; considerable experience with MS Project (required), MS Office (Word, Excel, PowerPoint, Visio) and CA Clarity PPM (desirable); experience designing and creating recurring standard reports for management; strong time management skills, with the ability to manage multiple tasks and objectives; excellent analytical, problem solving, planning and organizational skills; experienced and articulate communication skills (oral and written) and strong presentation skills.

 

This is a full-time, 12-month Academic Professional position.
